Wilderwood Camps Terms and Services / Registration Contract
Welcome to Wilderwood Camps
Thank you for choosing Wilderwood Camps! To ensure a safe, enjoyable, and enriching experience for all participants, please carefully read and agree to the following Terms and Services/Registration Contract before completing your registration.
1. Registration and Payment
1.1 Eligibility
Campers must meet age and other eligibility requirements outlined in the specific camp program descriptions. Younger campers (ages 3-5) participate in our LittleWilder program with modified schedules and activities.
1.2 Registration
Registration is completed online at https://www.wilderwood.camp/.
Registration is not confirmed until full payment or a deposit is received, and a confirmation email is sent.
1.3 Payment
A non-refundable deposit of $50 is required to secure your camper’s spot.
Full payment is due 14 days prior to the camp’s start date unless otherwise specified.
Payment plans may be available; contact our office for details.
1.4 Invoicing and Fees
Registration costs for individual weeks are $375 per week. Additional charges apply for extended care and optional survival kits.
Taxes and processing fees may apply and will be detailed in your invoice.
1.5 Late Payments
A late fee of $10 will apply for payments not received by the deadline.
2. Cancellation and Refund Policy
2.1 Cancellations by Participants
Prior to March 1, all camp registrations are eligible for a full refund, minus any processing fees.
After March 1, a refund can be issued up until May 29 of 50% of the registration cost, minus the processing fees.
After May 29 no refunds can be issued for any reason.
2.2 Cancellations by Wilderwood Camps
In the unlikely event Wilderwood Camps must cancel a program, you will receive a full refund, including the deposit.
2.3 No-Show Policy
No refunds will be given for campers who fail to attend without prior notification.
3. Health and Safety
3.1 Medical Information
A completed medical form must be submitted before the camp start date.
Parents/guardians must disclose any allergies, medical conditions, or special needs.
3.2 Medication
Any medication must be provided in its original container and accompanied by written instructions from the parent/guardian.
3.3 Emergency Procedures
Emergency procedures include steps for severe weather, fire, and active threats. Campers’ safety is prioritized in all scenarios.
Incident reports will be filed for any injuries or emergencies.
4. Code of Conduct
4.1 Behavior Expectations
Campers are expected to treat all participants, staff, and property with respect.
Bullying, harassment, or any form of misconduct will not be tolerated.
4.2 Dismissal Policy
Wilderwood Camps reserves the right to dismiss any camper whose behavior disrupts the camp experience for others. No refunds will be issued in such cases.
4.3 Dress Code
Campers must wear their camp shirt daily to help distinguish them from the general public.
5. Transportation Information
5.1 Drop-Off and Pick-Up Procedures
East Ridge: Drop-off is between 9:00 AM and 9:15 AM, with pickup between 2:00 PM and 2:30 PM. Parents must follow designated traffic loops and use QR codes for sign-in/sign-out.
Sculpture Field: Similar procedures apply, with designated entry and exit routes.
5.2 Extended Camp
Drop-off for extended camp begins at 7:00 AM, and pickup ends at 6:00 PM. Parents must park and check campers in or out directly with staff.
5.3 Late Arrivals
Parents must notify the Camp Director via email or text for late arrivals. A fee of $1/minute will apply for unnotified late arrivals.
6. Risk Management
6.1 Safety Measures
Campers must follow safety protocols, including staying with their groups and wearing appropriate footwear.
Staff conduct regular headcounts during activities to ensure camper safety.
6.2 Hydration and Sun Protection
Campers must bring a reusable water bottle daily. Sunscreen and bug spray must be applied regularly; younger campers may require counselor assistance.
6.3 Equipment Safety
All equipment is inspected daily during use and at the end of each summer for wear and tear.
6.4 Emergency Plans
Wilderwood Camps has detailed plans for severe weather, fires, missing campers, and medical emergencies.
7. Personal Property Policy
7.1 Prohibited Items
Alcohol, drugs, weapons, and pets are strictly prohibited on camp property.
7.2 Electronics
Campers may bring electronics but must keep them in their backpacks during camp hours.
7.3 Personal Belongings
Wilderwood is not responsible for lost, stolen, or damaged personal items brought to camp.
8. Media Release
By registering for Wilderwood Camps, you grant permission for photos or videos of your camper to be used for promotional purposes unless you submit a written request to opt out.
9. Liability Waiver
By signing this contract, you acknowledge that participation in Wilderwood Camps involves certain risks, including but not limited to physical activities and outdoor environments. Wilderwood Camps is not liable for injuries, accidents, or damages except in cases of gross negligence.
